Admin | Manage seats in professional plan

In the Professional plan, team admins can manage team seats by upgrading, downgrading, or approving seat requests. It allows admins to optimize seat allocation based on team needs, control costs effectively, and ensure team members have the right access to perform their tasks efficiently.

Seat management

    Click on the team name in the sidebar to enter the team page.

    Click Members to enter the team member list.

  3. 3.

    Click the '16_Common_ArrowDown (6).svg' next to the current seat of a member to change their seat type. 'Seat management.png'

    Note: When a member is downgraded to a Viewer seat by the admin, to upgrade to a paid seat again, they need the admin's approval.

    Tip: When hovering over the paid seat, the upgrade date and reason will appear in a toast.

Manage seat upgrade requests

When a member sends a seat upgrade request, Motiff will send an email and a notification to the relevant admins. The applicant will receive a notification of the approval result.

Tip: If another admin has already approved or declined the request, applicants will see the following message: This request has already been handled.

Via workplace

  1. 1.Click on the team name in the sidebar to enter the team page.
  2. 2.Click Members to enter the team member list.
  3. 3.Click the Start approving button above to view the approval list. 'Via workplace-01.png'
  4. 4.Click the Decline or Approve button corresponding to a member to make a rejection or approval. 'Frame 24 (1).png'

Via email

  1. 1.Open the seat upgrade request email.
  2. 2.Click View all requests to view the request.
  3. 3.Make a decision:
    • Choose Approve to enable the member to be upgraded to the applied seat.
    • Choose Decline to decline the request. The member will be downgraded to their original seat before making the request.

Tip: When the team or organization's method of managing seat upgrades is set to Allow self-upgrade, new members’ self-upgrades will trigger notifications to the admins, but do not need their approval. If needed, admins can manage their members’ seat types in the grace period member list.

Via message center

  1. 1.In the workspace, click the '24_Common_Bell (1).svg' to view seat upgrade requests.
  2. 2.Make a decision:
    • Choose Approve to enable the member to be upgraded to the applied seat.
    • Choose Decline to decline the request. The member will be downgraded to their original seat before making the request.

Tip: When the team or organization's method of managing seat upgrades is set to Allow self-upgrade, new members’ self-upgrades will trigger notifications to the admins, but do not need their approval. If needed, admins can manage their members’ seat types in the grace period member list.

Manage new seat upgrades

Members with Viewer seats or Developer seats can trigger sending seat upgrade requests to the admin through certain actions (e.g.: creating a new file, editing, etc.).

In the Professional plan, admins have two ways to manage the seat upgrade of new members:

  • Require approval (default): New members need admin’s approval to upgrade seats, and they can initially use it for 14 days. If the admin does not approve, the member will automatically downgrade to their seat before application after 14 days.

Tip: This method is only for new members. Members who have had an upgrade request rejected or have been downgraded by the admin will no longer have the 14-day usage period.

  • Allow self-upgrade: Allows new members to upgrade their seats by themselves, only sending an upgrade notification to the admin without needing approval. At this time, the admin needs to decide within a 7-day grace period whether to downgrade the member’s seat. If the admin does not perform a downgrade, the member will automatically upgrade to the applied seat after 7 days. For unreasonable upgrades, if the admin downgrades the member within 7 days, charges will not be applied.

Tip: This method is only for new members. Members who have had an upgrade request rejected or have been downgraded by the admin will no longer have the 14-day usage period.

Admins can follow these steps to set the ways to manage the seat upgrade:

  1. 1.In the sidebar of the workspace, click on the name of the team to be managed to enter the team page.
  2. 2.Click Settings to enter the settings list.
  3. 3.In the Seats section, click Manage new seats and select a management method.

Manage grace period member list

Tip: When a team's seat upgrade management method is set to Allow self-upgrade, there will be members in the grace period.

Admins can follow these steps to downgrade unreasonable grace period members:

  1. 1.Click on the team name in the sidebar to enter the team page.
  2. 2.Click Members to enter the team member list.
  3. 3.Click During the grace period to filter the results.
  4. 4.Downgrade the grace period members with unreasonable self-upgrades. 'Manage grace period member list.png'
